This Privacy Policy & Media Release ("Policy") governs the processing of your personal data and the use of your image in connection with your registration for the House of Nine events and social gatherings.
By completing the registration, you acknowledge that you have read and understood this Policy.

Optional and separate. You may attend the event without giving this consent.
C. Media Exploitation: To use, globally and perpetually, your likeness, image, and voice from photographs and video recordings taken during the event for all commercial, advertising, and promotional activities of House of Nine.Your Image, Likeness, and Voice (as captured in media)Art. 6(1)(a) & Art. 9(2)(a): Your explicit and freely given consent for the use of this special category data.
Mandatory. Required to participate in the event, as filming/photography will be widespread.

3. Detailed Media Release Terms

By granting consent for Purpose C, you agree to the following specific terms:

  • Grant of Rights: You grant House of Nine S.r.l. an irrevocable, worldwide, perpetual, royalty-free, and transferable right and license to use, reproduce, modify, adapt, publish, distribute, and display your image, likeness, and voice in any media format (photos, videos, audio recordings).

  • Scope of Use: This includes, but is not limited to, use in:

    • Paid and unpaid advertising across all channels (billboards, print magazines, newspapers, television, online banners).

    • Digital and social media (website, Instagram, Facebook, LinkedIn, Twitter, etc.).

    • Promotional and marketing materials (brochures, catalogues, email campaigns, presentations).

    • Editorial content and press releases.

  • No Compensation: You acknowledge and agree that you will not receive any financial compensation, now or in the future, for the use of the media as described herein.

  • Release: You release House of Nine S.r.l., its affiliates, and its agents from any and all claims, liabilities, or demands arising from or related to the use of the media.

4. Data Retention Periods

Your personal data will be retained only for as long as necessary to fulfil the purposes for which it was collected:

  • Data for Event Execution (Purpose A): Retained for the duration necessary to organise and execute the event, and for any subsequent period required by Italian legal obligations (e.g., tax and accounting laws).

  • Data for Marketing (Purpose B): Retained until you withdraw your consent. You may withdraw consent at any time by contacting reception@houseofnine.com. Withdrawal will not affect the lawfulness of processing based on consent before its withdrawal.

  • Media Files (Purpose C): Retained and used indefinitely for the global promotional purposes you have authorised, as this consent is perpetual in nature.

5. Data Recipients and International Transfers

Your data may be accessed by authorised personnel of House of Nine S.r.l. and by carefully selected third-party service providers who act as Data Processors on our instructions (e.g., providers of the registration platform, email service, cloud storage, or the event photographer/videographer). We require all processors to protect your data under strict contractual agreements.

Your data is processed within the European Union. Should any transfer outside the EU become necessary, it will be conducted only to countries deemed to provide an adequate level of protection or under appropriate safeguards (such as the Standard Contractual Clauses approved by the European Commission).

6. Your Rights under the GDPR

You have the right to:

  • Access your personal data and receive information about its processing.

  • Rectify inaccurate data or complete incomplete data.

  • Erase your data ("right to be forgotten") under certain conditions.

  • Restrict the processing of your data in specific circumstances.

  • Withdraw your consent for Purposes B (Marketing) and/or C (Media) at any time, without affecting the lawfulness of processing based on consent before its withdrawal.
